Rental Agreement

Policies & Procedures

Rental requests must be completed ENTIRELY and ACCURATELY. Next Door Rentals is not responsible for missing or inaccurate information. 

To officially secure and confirm your rental reservation, BOTH the deposit for the reservation AND the signed rental agreement must be received. Next Door Rentals will not honor a reservation without proper receipt of payment AND the rental documentation under any circumstances. A quote or proposal does not guarantee the availability of your requested items. Unless your rental reservation has been officially confirmed, pricing, rental quotes, inventory availability, and availability of services are subject to change at any time. Quotes are valid for 7 days from date of issuance unless otherwise stated. Inventory is not held without deposit and signed agreement.

Renter will inspect all items and verify quantities with signature prior to accepting delivery or customer pick-up. Rental items may only be used at the delivery/event address outlined on the rental contract. Renter agrees that they have read all policies and procedures prior to engaging in the rental agreement and accepts its terms and conditions. 

Reservations

Customers are responsible for their order accuracy. Please carefully review all information, including delivery location, delivery and pickup times, item names, quantities, and styles; as well as contact details, event dates and times, venue location and access points, and any other relevant order/service information. 

Revisions to orders must be submitted in writing at least 72 hours prior to event date. Requests made after this period are not guaranteed and may be subject to additional fees.

Next Door Rentals requires a valid driver’s license or ID kept on file for all customer pickup/will-call reservations. Renter must adhere to the pick-up and drop-off appointment times or delivery windows outlined in the Rental Agreement. Any extension must be mutually agreed upon in writing, prior to rental period extension.

Damage Waiver

A non-refundable 10% damage waiver is assessed to all rental reservations to protect Renter against damage incurred by normal wear and tear. The damage waiver does not cover the stolen, loss, or damage of items due to abuse or misuse of items. All broken/damaged items must be returned. The Damage Waiver does not cover theft, loss due to negligence, burn marks, candle wax, mildew, mold, broken glassware, or weather-related damage.

Linens & Tableware

Table linens must be returned dry and free of food. All linen and tableware rentals reservations must be confirmed at least 5 days in advance of the event date to best ensure availability.

Insurance

Notify Next Door Rentals when placing your rental reservation if your venue requires a Certificate of Insurance (COI). Requests for insurance must be made at least 10 business days in advance of the event date. Specialty clauses, increased coverage, and other specific insurance policy requests by the venue are subject to additional fees. 

Payments 

Acceptable Payment Types

Next Door Rentals accepts all major credit cards to reserve rental orders.  We do not accept personal checks. Business/bank checks must be accompanied with the Next Door Rentals’ Credit Card Authorization Form. Cash payment for rental items requires a copy of a valid credit card to be kept on file. Gift cards, debit cards, or cashapp cards are not eligible alternative payments. 

By providing credit card information, the cardholder authorizes Next Door Rentals to charge any outstanding balance, surcharges, or replacement costs per this Agreement.

Deposits

All orders require a 50% non-refundable deposit to confirm reservation. The 50% non-refundable deposit of the TOTAL rental order balance is required to reserve rental inventory and retain Next Door Rental services for a specified date and time. There are no refunds for the deposit of cancelled or forfeited reservations. All taxes & fees are applied at time of final invoice.

All orders must be paid by the invoice due date. If full payment is not received, rates and availability are subject to change. All rentals outlined on the rental contract are final, refunds are not available for unused rental items, canceled or postponed events. Renter’s final reservation balance includes the remaining 50% of the total rental order and may also include, but is not limited to the following: adjustment of delivery/setup/transport fees to the event location; any special services required/requested; rental inventory additions, revisions, and modifications since the original rental reservation. 

Surcharges 

Next Door Rentals requires a copy of a valid credit card be kept on file for inventory damage, loss, return pickup charges, inaccessible inventory, cleaning fees, poor delivery/pickup conditions, and any other applicable fees listed therein our Rental Agreement. Replacement charges will be assessed for lost, stolen, missing and damaged items beyond repair or restoration. 

Replacement charges are as designated by Next Door Rentals, who will assess the replacement value as at least three (3) times its current market rate, plus delivery cost, and restocking fee. In the case of damages, lost items, additional service fees, or any necessary assessed surcharges to the card on file, Next Door Rentals will notify the Customer on file immediately and process the accrued billed fees, using the credit card on file as permitted by this Rental Agreement. 

The person or entity listed on the signed Rental Agreement will be held financially responsible to pay the repair of damages, cleaning, or total replacement cost of rental item(s). The credit card on file as indicated on the signed Rental Agreement, will be charged for replacement and/or damages, assessed accordingly as indicated above. Should the credit card on file be rejected, declined, or inaccurate, Next Door Rentals will reach out for alternative payment; if payment restitution cannot be immediately made, legal action may be pursued.

Cancellations 

If the balance of a rental reservation remains unpaid by the invoice due date, Next Door Rentals reserves the right to cancel the Customer’s order for lack of payment. The Customer’s non-refundable deposit will not be returned or refunded in the event of cancellation. 

Final payment is due before any receipt of rental items or services. If the truck is loaded for the delivery, the Renter is responsible for the full rental rate outlined on the Rental Agreement, despite any requested changes.

Delivery, Services, & Customer Pickup 

Delivery

Next Door Rentals delivers within a 25 mile radius from our showroom (2365 MacDade Blvd. Holmes, PA 19043). Standard delivery fee starts at $95. Delivery and pickup hours are between 8a and 9p. A 2-hour minimum delivery window is standard. Deliveries outside of our standard delivery radius will incur a $4/mile surcharge.

Next Door Rentals requires a rental minimum of $200 for orders outside of Delaware County, PA before requests are eligible for delivery service. The rental minimum does not include delivery fees and setup services. 

Requested delivery service fee will be included in the rental quote and is based on the information provided at time of initial quote. Delivery and pickup outside of standard hours will incur an additional overtime charge, at a minimum rate of $100.  Delivery rate is subject to change upon order revisions including, but not limited to venue address, delivery location, distance from parking to staging area, and municipal location (ie. center city).

Deliveries require signed receipt confirmation of satisfactory order. Deliveries will not be left at venues without verification of site contact and signature. Orders will not be delivered to an outdoor location & left or outside in inclement weather without a canopy. 

Next Door Rentals standard delivery is to ground/1st floor, or curbside/within 50 ft from delivery vehicle for outdoor events. Delivery and/or set-up to alternate floors within a building or beyond 50 feet will incur a surcharge. It is the Renter’s responsibility to inform Next Door Rentals of any obstacles and to verify and provide detailed information regarding delivery access, entry points, and other relevant venue details. Next Door Rentals reserves the right to refuse delivery service if conditions are not adequate, potentially unsafe, or may compromise inventory; no refunds will be issued. Renter will incur surcharges if Next Door Rentals needs to return to venue to complete secondary delivery attempts.

Customer Pickup & Walk-Ins

Next Door Rentals is happy to provide convenient rental options for our customers. During business hours, walk-ins are welcome. All renters must adhere to all rental policies and procedures listed herein and within customized Rental Agreements. 

Customer pickups and returns are typically only available during showroom business hours; please refer to website for most up-to-date store hours. Outside of posted business hours, pickups and returns are strictly by appointment only and not available within a return window. Items returned after the agreed time will incur late fees, charged at a daily rate of 25% of the rental total, unless otherwise arranged in writing.

Renters must arrive in a vehicle that will safely transport items, which is up to the discretion of Next Door Rentals. If a customer arrives in a vehicle that proves inadequate for safe or viable transport, no refunds will be issued of unused items. Picking up rental orders in a rideshare vehicle is not encouraged. Next Door Rentals is not responsible for loading and unloading customer vehicles with rental items. 

Any rental equipment not returned within 48 hours of the agreed return date without communication will be considered stolen, and renter will be charged full replacement cost.

Services

White glove setup service is available for rental items upon request. A sitemap, floorplan, or event layout is required at least 3 days in advance of order reservation. Next Door Rentals will either assess an hourly labor fee or per item setup fee, based on the event details. Next Door Rentals’ setup service can include setup and breakdown of all rental items (ie. tables, chairs), with the exception of setting up glassware or table settings. Standard setup and breakdown must occur within the agreed delivery window. Setup services outside this window are subject to additional fees. Setup service and strike does not include the removal of food or other table debris or decor from table tops, seating, or backdrops. 

Next Door Rentals is happy to provide additional service offerings, including event planning and design. Customers who decline to contract said services, yet require an elevated level of guidance, may be charged consultation fees and/or utilization rates based on Next Door Rentals discretion. Fees that encompass time and labor investment include, but are not limited to: excessive revisions to rental orders; extensive emails or conference calls; staff time exceeding the reasonable scope of the standard rental reservation process.
